We’re searching for an Information Governance Regional Manager based out of one of the Firm’s offices located in either Baltimore, Boston, Newark, Philadelphia, Pittsburgh, Providence, Roanoke or Wilmington.
Reporting to the Director of Information Governance, the Information Governance Regional Manager is responsible for administering the Firm’s training and performance management program for all Records and Information Management personnel. The program is designed to ensure consistency in Record and Information Management practices across the Firm, and compliance with mandatory client guidelines related to Records and Information Management and cyber security. The Information Governance Regional Managers are expected to be hands-on and participate with Records and Information Management and Information Governance workflow as needed.
The Information Governance Regional Managers work closely with Office Administrators and local supervisors to train, monitor, audit and coordinate work among the Firm’s Records and Information Management personnel.
The Information Governance Regional Managers also work with the IT/IG department to identify cyber security risks and make recommendations regarding new policies and procedures.
Key Responsibilities:
Administer, update, and deliver the Firm’s Records and Information Management training program.
Assist with internal Firm audits and client audits conducted on-site or off-site.
Assist with and lead outbound and inbound file transfers to ensure Firm and client obligations are met.
Maintain open communication related to personnel performance and progress reports with the Office Administrators.
Ensure that the Firm’s policies and procedures relating to Ethical Wall and Legal Holds processes are maintained and executed appropriately.
Collaborate with the Information Governance Manager and the Director of Information Governance to implement new Records and Information Management policies, procedures and systems as they relate to client records.
Assist in maintaining the official records by conducting audits to ensure proper file coding and locality. Ensure that there are no compliance discrepancies.
Report goals, initiatives, challenges, audit results, projects, staffing and accomplishments on a monthly basis to Chief Information Officer and Director of Information Governance.
Assist in maintaining and auditing a paperless work environment.
Assist in maintaining a task management workflow.
Assist in maintaining a distributive work processes.
Requirements:
5 years of Records and Information Management or related experience, expertise in the life cycle of physical and electronic files.
Experience in converting from a paper filing system to an electronic filing system.
Experience with retention policies, on-site/off-site storage, storage retrieval and destruction of files.
Experience in a law firm environment.
5 years supervisory experience.
Working knowledge and experience with Records and Information Management applications.
Experience with training and records policies and procedures.
Must maintain a high level of professionalism and confidentiality in all matters.
Ability to work in a fast paced environment.
Ability to travel and work flexible hours including weekend work as needed.
Knowledge of legal records pertaining to various practice areas.
Knowledge of scanning files workflow, including working with a scanning machine and imaging software.
Strong communication and interpersonal skills.
Excellent organizational skills and attention-to-detail.
Proficient in MS Outlook, Word, Excel, PDF software.
Preferred Requirements:
Proficient with NetDocuments, iManage (or similar Document Management systems).
